Add your work email to Outlook, iPhone and Android

You can read your Microsoft 365 work email on your computer and phone at the same time. Below are the steps for the most common setups. You will need your full work email address and password, and your phone nearby to approve the sign-in.

Our recommendation: use the free Microsoft Outlook app on your phone. It supports all Microsoft 365 security features, and some organizations only allow Outlook for work email.

Outlook app on iPhone or Android (recommended)

  1. Install Microsoft Outlook from the App Store or Google Play.
  2. Open the app and select Add account (if Outlook is already set up, tap your profile picture, then the add-account icon).
  3. Enter your work email address and tap Continue.
  4. Enter your password and complete the verification prompt (see “Sign-in approvals” below).
  5. If asked, allow notifications so you know when new mail arrives.

Some organizations also ask you to install Microsoft Authenticator or Company Portal to protect work data on the phone. If Outlook shows that message, follow the on-screen steps.

New Outlook for Windows

  1. Open Outlook. If this is the first time, enter your work email when asked and select Continue.
  2. To add another account, select Settings (gear icon) > Accounts > Email accounts > Add account.
  3. Enter your email address, sign in and approve the prompt.

Outlook for Mac

  1. Open Outlook. On first launch, enter your work email and select Continue.
  2. To add another account, choose Outlook > Settings > Accounts, then select the + button and New Account.
  3. Enter your email address, sign in and approve the prompt.

iPhone Mail app

  1. Open Settings > Apps > Mail > Mail Accounts > Add Account. (On older iOS versions, go to Settings > Mail > Accounts.)
  2. Choose Microsoft Exchange.
  3. Enter your email address and a description (for example, “Work”), then tap Next.
  4. When asked, choose Sign In (not “Configure Manually”) and sign in on the Microsoft page.
  5. Choose what to sync (Mail, Contacts, Calendars) and tap Save.

Android built-in email apps

Android phones vary by manufacturer, so the Outlook app gives the most consistent experience. If you prefer the Gmail app, open it, tap your profile picture > Add another account > Outlook, Hotmail, and Live or Exchange and Microsoft 365, and follow the sign-in steps.

Sign-in approvals (MFA)

Most business accounts use multi-factor authentication. After you enter your password, you may be asked to:

  • Approve a notification in the Microsoft Authenticator app, sometimes by typing the number shown on your screen.
  • Enter a code sent by text message or shown in the Authenticator app.

Only approve a sign-in request when you are the one signing in right now. If you get an approval request you did not expect, deny it and let us know. It may mean someone has your password.

If it does not work

  • Double-check the email address for typos and make sure your password works at https://outlook.office.com.
  • Make sure the phone has an internet connection and the app is up to date.
  • If you see a message about your organization’s policies or an app not being allowed, your account may require the Outlook app.
